Privacy Policy

AAAI Tools provides short-form audio and video transcription plus browser-based utilities for file and productivity workflows. This policy explains what information may be processed when you upload a file, request a transcript, use a local browser tool, contact support, or browse the website.

Operator and contact

AAAI Tools is operated by the AAAI Tools team. For privacy questions, support requests, deletion questions, or questions about this policy, contact [email protected].

Uploaded media and results

Uploaded files are stored temporarily so the service can process them and generate transcript files. Generated TXT and SRT results are also stored temporarily so you can download them after the job is complete.

Files and results are automatically deleted after 6 hours. You should download anything you need before it expires.

Browser-only tools

Some AAAI Tools utilities run locally in your browser. CSV Cleaner is designed to process CSV text in the browser, and Pomodoro Timer stores timer settings and task notes in browser local storage. These browser-only tools do not intentionally upload your CSV content, task list, or timer settings to AAAI Tools servers.

You can clear browser-only tool data by using the tool controls when available or by clearing local site data in your browser settings.

For a tool-by-tool overview of local and server-side processing, see the data handling page.

Deletion mechanism

Server-side transcription uploads and generated results are stored in temporary job directories and are removed by scheduled cleanup after the retention period. The current retention period is 6 hours. Jobs may also be removed earlier during maintenance, abuse prevention, or infrastructure recovery.

AAAI Tools is not intended for long-term hosting, backup, or archive storage. Keep your original media and download any generated transcript files you need before the temporary download window ends.

Technical data

Basic technical logs may include IP address, request time, file size, selected language option, job status, error state, browser user agent, and similar operational information. This data helps operate the queue, diagnose failures, prevent abuse, and enforce free service limits.

Technical data may be reviewed when investigating broken uploads, service abuse, security events, unusually high traffic, or reliability issues. We do not use uploaded media as a public dataset or publish user-uploaded content.

Support communications

If you email support, your email address and the content of your message may be used to respond to your request, investigate the issue, and improve documentation. Avoid sending private media files, confidential documents, passwords, payment information, or other sensitive materials unless specifically requested for a limited troubleshooting purpose.

Content responsibility

Do not upload private, confidential, copyrighted, medical, financial, legally sensitive, or otherwise restricted content unless you have the right and consent to process it. You are responsible for the media you submit and for how you use the resulting transcript.

Advertising and third parties

The site may use Google AdSense to display advertising. Google and its partners may use cookies or similar technologies to serve, measure, and personalize ads according to their policies and your choices.

The site may also rely on infrastructure providers, hosting providers, browser APIs, and standard web technologies to deliver pages and operate the service. Third-party services may process limited technical information as part of normal website delivery and security operations.

Cookies and local storage

AAAI Tools may use cookies, local storage, or similar browser storage for functional settings, browser-only tools, advertising, measurement, or abuse prevention. For example, a browser tool may remember your timer settings locally so the page remains useful after a refresh.

You can control cookies and local storage through your browser settings. Blocking storage may disable some convenience features.

Security and limitations

AAAI Tools is designed for temporary automated processing, not long-term storage. No internet service can guarantee perfect security, so avoid uploading content that would create risk if processed by a third-party service.

Changes to this policy

This policy may be updated as tools, infrastructure, advertising settings, or support processes change. Continued use of the site after an update means you accept the updated policy.
